Editing & Sharing Portfolio Views in ProjectSight
Steps necessary to align your portfolio view settings with the rest of your organization.

In order to effectively organize a project, no matter what the scale, managers must possess the software tools capable of executing their project’s goals. To do that, their software should not only be customizable but also easily shareable and repeatable for other team members. ProjectSight’s View settings combine user’s needs for customizable data screens and their simultaneous requirement of synchronicity between themselves and other members of a project. This feature is available on several different levels in ProjectSight, but we will cover the most omniscient view of a project – the portfolio perspective.
For users assigned to the security group “Portfolio Administrator”, this screen provides key information on each individual project within their assigned portfolio. There are two different viewing configurations: box view and list view. We recommend always using list view because it provides more information critical to your project than the box view. To change our view to list view, we will select the right box in the highlighted group.

As with other functions in the software, ProjectSight arrives equipped with a basic view that can later be customized. From this basic view, you can see your project name, number, status, and building type.

Of course, this information is valuable to your project and should not be overlooked; but there is not enough detail here to provide us with more nuanced answers to project information and health. To add more columns, select the ‘Select Columns’ button located near the icons we used to change our portfolio view. The dropdown list provides over a dozen data points that are pulling directly from the project itself. To add a column to the view, simply select the box next to the information you wish to display. Once you are satisfied with your data columns, click “Apply”.

I made a few changes, and now my portfolio screen displays other key information like project end date, construction type, who the project was last modified by, and a description of the project itself.

It is very important I remember to save my view once I am satisfied with the configuration. I could edit this screen for two hours and if I leave the page before saving it I will lose my view. To save it, I will select the “Unsaved View” box and click “Add”.

I will then name my view and save it.

You can add multiple views for different types of information you wish to display by performing the same steps again. Here, I added a second testing view that does not have the construction type.

We have completed our portfolio view configuration, but what good is that configuration if I am the only one who can see it. Rather than have other members of my project create their own separate views that may increase confusion amongst the collective stakeholders, I can share this view with other users so we can align our viewing settings. To do this, select the gearbox icon in your views to open the sharing settings. Then, select the highlighted icon in your “View Settings” page.

Opening this icon will take you to your “User Search” page. Uncheck the “Project Users” button to display everyone in the portfolio, not just the project you are currently working on. By checking a box by a user’s name and hitting “Select”, you are adding this view to their view list. You can also edit permissions for the view, by allowing particular users to edit the view or only view it. To officially provide a user with your customized view, his “Save”.
