Daily Reports for Effective Project Tracking in ProjectSight
Creating daily reports to track project progress.
Daily reports are a critical metric for logging statuses on day-to-day tasks at a job site. Not only must holistic data like equipment use and labor hours be accurately tallied, but also minute details like daily weather or notes. When documenting work in the field, project members must possess the pertinent resources to achieve these goals. ProjectSight’s Daily Reports module provides users with an effective and user-friendly interface for achieving their project management goals.
In the Records section of ProjectSight’s toolbar, select the Daily Reports icon. If you have no current reports, simply click the ‘New Daily Report’ icon in the center of the screen or select the ‘+’ icon in the top right corner.
Either of these will open a calendar with report options for any day leading up to your current day of the month.
Upon selecting a date and creating your daily log, the module will generate four panels for you to enter information critical to your report. To view or edit any of these
Weather
Tracking weather can provide meaningful context toward a day on the job site. In this panel, you can provide data on multiple factors pertaining to weather and how it may have affected your work that day, including the temperature, conditions, humidity rate, wind speeds and the time of that entry. Additionally, an author can provide general information outside of the scope of these entries in the ‘Notes’ box at the bottom of the screen.
Labor
ProjectSight also allows recording of labor data for a specific day on the job site. For labor entries on daily reports, you will need to select a company and a crew (both should have been created in your project settings already). Once you have your desired crew, you will enter the works on that crew and ProjectSight will automatically populate the quantity by taking that worker count and multiplying it by your predetermined hours-per-day (this will also be created in your project settings). There is also an option to set the unit of measure to days instead of hours, but most often hours are the best option for users.
You can also add a location and description of work to provide context for the labor hours. Finally, there is a bar dropdown that can articulate the current status of the labor section of your daily report. These can also be edited in your project settings to fit any of your reporting needs.
Equipment
Like with labor hours, project and site managers must be meticulous in their tracking of equipment usage. In ProjectSight, you can create entries in the daily log tracking the specific equipment and that equipment’s quantity, hours used, rate, company and crew ownership, and usage location.
Notes
Finally, there is a general notes panel where users can add any extraneous information that may not be captured in the other panel options.
History
There are a few other data points in the daily report that you can use to find/create more context for your daily reports. Next to the ‘Daily Report’ section you will find another section for ‘History’. ProjectSight will automatically track any updates or entries made, the user who made those changes, and the date of those changes, as well as other general, important information.
Additional Information
Lastly, there is a column on the far-right side of your screen presenting additional options and information for your daily report. The icon with shadows of people provides a link for this report that you can share with others, and the icon to the right of that allows users to add links to this report tying it to other files in the project. The question mark icon can grant additional information to the user, and, if the report is no longer necessary, the three dots icon will open an option for you to delete the report altogether. If there are any other key stakeholders who need to be involved in the report, you can assign them to this report or, if they are peripherally involved, provide them with a courtesy copy. You can only choose users added to the specific project.
ProjectSight’s Daily Reports module is a critical interface that provides users with detailed tracking their day-to-day work on a job site. Without that key information organized in such an orderly manner, a manager could lose track of project-critical information and hurt progress overall.
